How HR can start using AI with confidence
Mindset first, AI tools second: How HR Professionals can start using AI with confidence
Artificial Intelligence (AI) talk is everywhere right now - especially in HR.
From automating admin to enhancing recruitment, the possibilities feel endless.
However, for many HR consultants and in-house HR professionals I speak to, the first reaction isn’t excitement. It’s uncertainty.
This week, I spoke to a senior HR leader at a large organisation who said something I hear a lot:
“We’re curious about AI… we want to dabble. But honestly? We don’t know where to start.”
And they’re not alone.
Whether you're an independent HR consultant or working in-house, the challenge isn’t just about choosing the right tool. It’s about building the right mindset and culture to support sustainable, strategic adoption of AI in human resources and the wider business.
So let’s unpack that - and more importantly, show you how to get started with clarity and confidence.
Why mindset and culture matter more than tools
There’s no shortage of AI for HR tools on the market, and more being launched each day.
From platforms that generate HR policies to those that screen CVs or analyse employee sentiment, it’s easy to get overwhelmed by features.
But here’s the truth: tools are only as effective as the people and systems behind them.
Without the right mindset, AI adoption becomes either a quick fix that fizzles out - or worse, something that never gets started at all.
As Raj Sharma from EY put it:
“The success of any organisation depends on how effectively it combines people, process, and technology intelligently to deliver transformational value.”
That applies just as much to freelance HR consultants as it does to global HR teams looking after thousands of employees.
The two mindset shifts you need to make
Whether you’re flying solo or leading an HR function, here are the two key shifts I’ve seen make the biggest difference:
1️⃣ From “I’m not techy” to “I’m curious”
You don’t need to be an AI expert.
You need to be open to learning, experimenting, and asking better questions.
One of my clients put it like this:
“I thought AI was all hype. But once I saw how it could save me 3 hours a week on admin? I was in.”
Start small.
Curiosity, not perfection, is what builds long-term success.
Start with one AI platform such as ChatGPT, Claude, Perplexity, Gemini or Co-Pilot.
Stick with that one tool, master it, learn from it. Then maybe try another one to get an alternative output and see which one or 2 your prefer.
2️⃣ From “It’s just automation” to “It can amplify my impact”
AI isn’t just about removing repetitive tasks (although that’s a massive win). It’s about freeing up space for deeper, strategic work. The kind of work you love - and get paid for.
Another HR leader told me:
“I was so busy doing the doing, I didn’t even realise how much time I was wasting. Now I’ve got systems in place and AI helps me to brainstorm and come up with proper strategies that really do meet our organisational challenges — I’m focusing on building relationships again, not stuck in my office, head down.”
What about culture?
If you're in-house, this mindset shift needs to extend to your team.
AI adoption is not just an IT or innovation project. It's not a passing fad or a one-off thing. It’s a significant cultural shift. People need reassurance. Clear communication. And a sense of ownership in the process. Leaders need to establish how ready they are for AI, understand it's possibilities for business transformation, and have a clear implementation strategy.
Here’s how I help clients start that culture shift:
Start with conversation, not tech – Ask your team: What do you wish you had more time for? Let their answers shape your AI experiments.
Demystify the unknown – Run low-pressure training sessions on AI basics. Focus on how it helps, not just how it works.
Lead with empathy – Some may fear AI is here to replace them. Show how it supports their roles instead.
Remember, sustainable AI in HR doesn’t happen through software alone. It’s built through trust.
One practical step to get you started
Here’s a no-fuss, low-risk way to begin:
Choose one task you do every week that bores or drains you.
Then ask a tool like ChatGPT to help you streamline, rewrite, or automate it.
Examples:
Drafting repetitive onboarding emails?
Creating client proposals or quotes?
Writing basic HR policy outlines?
Developing a training course but not the subject matter expert?
Let AI do the heavy lifting - and refine it with your expertise. That’s collaboration, not cheating.
Why AI strategy for HR matters
I’ve worked with both independent HR consultants and in-house HR teams to help them build AI strategies that fit their way of working.
Not over-engineered. Not full of jargon.
Just a clear path from curiosity ➝ exploration ➝ confident adoption.
Final thought: You’re not behind
If you’re reading this, you’re not late to the AI party.
You’re early enough to do it well—and wisely.
You don’t need to jump in with expensive software or change everything overnight. Start with your mindset. Start with your culture. Start with one task.
And if you want help figuring out what that first step looks like for you?
