10 essential AI tips for HR consultants
10 essential AI tips for HR consultants: Unlock efficiency with Artificial Intelligence
As an HR consultant, you're always on the lookout for ways to enhance your services and stay ahead of the curve.
Enter artificial intelligence (AI) - it’s revolutionising the way we work, communicate, and grow our businesses. A recent Deloitte report found that AI drive automation can reduce HR administrative tasks by 60% on average.
As an expert HR professional with 35 years experience and more lately helping small businesses startup, starting to work with AI almost 18 months ago has provided me with valuable insight. I've developed and implemented several custom GPT models for both my own consultancy business as well as my clients' specific needs. These AI assistants can handle everything from drafting job descriptions and screening responses to creating personalised business proposals and client onboarding documents.
This direct experience has shown me exactly what works - and what doesn't - when integrating AI into HR consulting practices.
AI use cases that HR consultants can consider for their own business.
REMEMBER: Ensure that all AI for HR solutions align with GDPR regulations by encrypting personal data and conducting regular audits. You can read more about GDPR in this blog post here.
In this blog post, we'll explore ten essential AI tips that can help you supercharge your HR consultancy, focusing on sales, marketing, and client management.

1. Harness the power of AI-driven lead generation
Gone are the days of cold calling and hoping for the best. AI can now help you identify and target potential clients quite accurately.
How it works:
AI algorithms analyse vast amounts of data from various sources, including social media, company websites, and professional networks. They then identify patterns and characteristics that match your ideal client profile.
Practical tip:
Whilst traditionally you could use AI-powered tools like LinkedIn Sales Navigator (a paid for service) to find and connect with decision-makers in companies that are most likely to need your HR consultancy services, you could now ask AI to ask you a series of question to identify the type of ideal client you want, and then ask it to identify those ideal clients within a certain location of you.
Once you have that information, you could then brainstorm with your AI your best lead generation tactics for those target clients (see #2 below).

2. Personalise your marketing campaigns with AI
One size doesn't fit all, especially in marketing.
AI can help you create highly personalised marketing campaigns that resonate with your target audience.
Case study:
lJoe, an HR consultant specialising in employee engagement, used an AI-powered marketing platform to analyse her healthy email list and create personalised content for each group. The AI analysed past client interactions, industry trends and engagement data to craft tailored messages.
The result? Her open rates increased by 35%, and she landed three new clients within a month.
Practical tip:
Implement AI-driven email marketing tools like Mailchimp or through your CRM to tailor your messages based on recipient behaviour and preferences.

Security and privacy considerations
As an HR consultant handling sensitive data, it's crucial to address privacy and security concerns when implementing AI tools. Here are the key considerations:
Data encryption requirements
GDPR compliance measures
Data storage locations
Access control protocols
Regular security audits
3. Leverage chatbots for 24/7 client support
As a small business owner, you can't be available round the clock. But with AI chatbots (or now voicebots), you can provide instant support to potential and existing clients at any time.
How it works:
AI chatbots use natural language processing to understand and respond to client queries.
They can handle frequently asked questions, schedule appointments, and even qualify leads.
They can provide written responses, or now even voice activated chatbots.
Practical tip:
Integrate and train a chatbot into your website to offer immediate assistance and capture leads even when you're off the clock.
4. Enhance your content creation with AI
Creating engaging content consistently can be a challenge. Not knowing where to post, or what to post, to attract your ideal clients is probably one of the most frustrating things for a HR consultant to overcome.
With the right prompts, or if you create and train your own custom GPT using ChatGPT that learns how to speak in your tone and style, AI can help you generate ideas, write drafts, and even optimise your content for search engines. Provide it with the right information, and 80% of the work is done for you.
Training custom GPT models for HR tasks:
To train a custom GPT model effectively, you need a Pro ChatGPT account (that is paid).
Start by gathering a dataset of your existing content, such as past proposals, blog posts, LinkedIn posts, reports, and policies that reflect your tone, style, and preferred terminology.
Next, upload this dataset in structured formats (markdown format is better!). During training, ensure the dataset is cleaned—remove redundant, outdated, or irrelevant information to maintain focus.
After fine-tuning, test the model using real-world scenarios, such as drafting HR documents or responding to client inquiries, and refine it iteratively by retraining on additional examples or adjusting parameters. This method ensures your GPT is aligned with your specific consulting needs while maintaining accuracy and compliance.
For example, I trained a model to write employee handbooks by inputting samples across industries, ensuring the GPT could handle varying compliance requirements and stylistic nuances.
I have also created custom GPTs to write complex, detailed reports and the training data that has been uploaded has been very specific to the outcome I required.
These AI assistants understand specific industry terminology, the relevant HR consultancy business itself, as well as compliance requirements, and have reduced document creation on average by at least 60%. For example, what would have taken 3-4 hours now only takes 45 minutes, allowing consultants to focus on more strategic work.
Practical tip:
Using a custom ChatGPT that knows your business can help you to write a blog outline, then expand on the content. You could then ask Perplexity.ai or Claude.AI to check the content or help it become more valuable to your target client. Sometimes I experiment with various AI tools to find the optimal approach. It’s never perfect, and will never replace the personal touch of my expertise, but it provides me with a strong foundation for crafting impactful content.
If my custom GPT has completed a task that is not to my satisfaction, I will update its training records to ensure it learns and does not repeat its mistake.
5. Streamline client onboarding with AI
First impressions matter, and a smooth onboarding process can set the tone for a long-lasting client relationship.
How it works:
AI can automate and personalise the onboarding process, ensuring that new clients receive the right information at the right time.
Practical tip:
Begin with straightforward, easy to implement solutions to build familiarity with AI tools. Create templated email sequences that you can use for new clients. Create templates to provide an overview of your project, the requirements on both parties, with timescales, and even a project plan. You know your business, and how you prefer to onboard clients.
Tip: Sketch an onboarding flow of what a typical client interaction looks like. Then ask AI to create you a series of emails to use. Once you have the basics and providing it is warranted and will save you time (ie you onboard a lot of clients and have rapid growth plans) implement an AI-powered onboarding tool like Userlane or WalkMe to create interactive guides and tutorials for your clients, helping them understand your services and processes better.
6. Use AI for competitive analysis
Staying ahead of the competition is crucial in the HR consultancy world.
AI can help you keep tabs on your competitors and identify new opportunities you may not have thought about.
From carrying out extensive analysis of competitor offerings, to brainstorming with your AI to see what services you could be missing, AI can be a powerful tool to help with your HR consultancy.
How it works:
AI tools can monitor your competitors' online presence, analyse their content strategy, and identify gaps in the market that you can fill.
Practical tip:
Utilise AI-powered competitive intelligence tools to gain insights into your competitors' strategies and adjust your own accordingly.
According to Gartner, 77% of businesses plan to increase their investment in AI tools for operational efficiency by 2025. (Source).
7. Implement AI-driven customer relationship management (CRM)
Managing client relationships is at the heart of your consultancy business. AI can help you do it more effectively and efficiently.
Case study:
Tom, an HR consultant focusing on talent acquisition, implemented an AI-powered CRM system. The system's predictive analytics helped him identify which clients were most likely to need additional services, allowing him to proactively reach out and increase his upselling success rate by 40%.
Practical tip:
Adopt an AI-enhanced CRM with AI to get predictive insights about your clients and automate follow-ups.
8. Enhance your presence writing case studies with AI
Social media is a powerful tool for HR consultants, but building authority can be time-consuming. AI can help you optimise that through the use of creating relevant case studies for your target clients.
How it works:
Provide AI with the relevant information for your case study and ask it to write you a report on what the issue was, how you solved it, etc. that showcases your relevant skills and positions you as an authority in your field.
9. Utilise AI for financial forecasting
As a small business owner, managing your finances is crucial. AI can help you make more accurate financial forecasts and business decisions.
How it works:
AI algorithms can analyse your historical financial data, market trends, and economic indicators to provide more accurate revenue projections and cash flow forecasts.
Practical tip:
Implement AI-powered financial forecasting tools to get a clearer picture of your consultancy's financial future.
Or simply ask ChatGPT, Perplexity or Claude to analyse your historical financial data and carry out future projections.
There are many different AI tools for HR consultants that are available but do remember that a tool is only as good as the information you provide to it.
10. Leverage AI for continuous learning and development
Staying up-to-date with the latest HR trends and best practices is essential for your consultancy's success. AI can help you identify knowledge gaps and suggest relevant learning resources.
How it works:
AI-powered tools can help you analyse your previous experience and identify any gaps and suggest relevant learning based upon your target client needs.
